Acceptance of Terms

By using the Q4 Workspace website or services, you agree to these Terms & Conditions and our Privacy Policy. If you have a signed service agreement or proposal with us, that document takes priority where it differs from these Terms.

Our Services

Q4 Workspace LLC (“Q4”, “we”) provides:

• Virtual assistance: team memberships and dedicated specialists, backed by Q4 Operations.
• AI & automations: workflows and integrations built on n8n, and AI agents such as our AI Receptionist and Instagram Chatbot.
• Websites & landing pages: custom-coded landing pages, business websites and custom builds, plus the Care Plan.
• Video editing (Q4 Studios): short-form video editing for Reels, TikTok, YouTube Shorts and Facebook.

The exact scope, deliverables and timelines depend on the plan you choose and any proposal we agree on.

Eligibility and Accounts

You must be at least 18 years old and able to enter into a binding agreement to purchase our services. If you share account access or credentials with us, you are responsible for having the right to do so and for keeping your own accounts secure.

Plans, Billing and Cancellation

• No long-term contracts. Monthly plans renew each month until cancelled, and you can cancel at any time. The only exception is the website Care Plan, which has a 6-month minimum (see Websites and Care Plan).
• Payments already made are non-refundable once the service period or work has started, unless stated otherwise in writing.
• Unused hours, adjustments, revisions or videos do not carry over and are not refunded, unless your plan says otherwise.
• Prices are in U.S. dollars and do not include taxes that may apply in your location.
• We may pause or end services if payments are overdue.

Virtual Assistant Memberships

Membership and specialist plans are monthly membership fees for access to our VAs, your Success Manager and Q4 Operations. VA hours are billed separately, at the hourly rate agreed for each VA based on their experience and expertise. Our VAs work U.S. business hours aligned to your time zone.

Our VAs are independent contractors engaged through Q4. They are not employees of Q4 or of your business, and nothing in these Terms creates an employment relationship between you and any VA.

Automations and AI Agents

• Automation plans are monthly, with no setup fee, and include the number of automations, actions per automation and monthly adjustments listed in your plan.
• We host your workflows on our n8n infrastructure while your plan is active.
• Automations and AI agents depend on third-party platforms, which may change, fail or limit access. AI outputs can contain errors, so please review important results.
• We are not responsible for losses caused by changes, outages or restrictions on third-party platforms outside our control.

Websites and Care Plan

• Landing pages and business websites are a one-time build fee. Landing pages, and business websites bought at the promotional price, require the Care Plan ($99/month), which covers hosting, domain purchase or connection, support, monitoring and up to 5 big or 10 small changes per month.
• Business websites bought at the regular price do not require the Care Plan. We set up the website on the hosting you choose and connect your domain.
• The Care Plan has a 6-month minimum. If you cancel before completing 6 months, we do not hand over the website, or the domain if Q4 purchased it, until you pay the remaining months of the minimum. Once paid, we hand everything over in full.
• We deliver landing pages and business websites within 1 day once we have your content (texts, photos and logo). Delays in receiving content extend delivery.
• If you cancel the Care Plan after the 6-month minimum, we hand your website over to you. If your domain is registered under Q4, it is transferred to you once you pay the domain cost.
• Custom builds are quoted individually. We set up hosting on your own accounts, and you pay hosting and running costs directly. Custom builds do not require the Care Plan.

Video Editing (Q4 Studios)

• Video plans are monthly and include up to the number of videos listed in your plan. Unused videos do not carry over to the next month.
• You record and send us your raw footage. We deliver edited videos, within 1 business day per video after receiving it. When several videos are sent at once, we deliver 1 to 3 videos per business day.
• Each video includes up to 5 revisions.
• 1 Year Price Guarantee: your monthly price stays the same for 12 months from your start date, as long as your plan stays active.

Your Content and Responsibilities

You keep ownership of all content, data, footage, logos and materials you provide (“Client Content”). You give us a limited license to use it only to deliver our services. You confirm that you have the rights to everything you share with us, including music, footage and customer data, and that its use complies with the law and with the terms of the platforms involved.

Ownership of Deliverables

Once paid in full, the final deliverables created for you, such as your edited videos, your website and your custom build, belong to you. Q4 keeps ownership of its pre-existing tools, templates, processes and know-how, and may reuse general techniques and non-confidential components in other projects.

You may not copy, resell or distribute Q4’s proprietary materials without our written permission. Unless you ask us not to, we may show completed websites and non-confidential work in our portfolio.

Acceptable Use

You agree to use our services only for lawful business purposes. You may not use them for fraud, spam or deceptive practices, to gain unauthorized access to systems or data, to distribute harmful code, or to harass our team. We may suspend or end services if these Terms are violated.

Disclaimers

Our services are provided “as is” and “as available.” We work hard to deliver great results, but we do not guarantee specific business outcomes, such as leads, sales, views or rankings. Q4 does not provide legal, financial or compliance advice.

Limitation of Liability

To the fullest extent permitted by law, Q4 Workspace LLC and its owners, team members and partners are not liable for indirect, incidental, consequential or special damages, including lost profits, data or opportunities. Our total liability for any claim is limited to the amount you paid us for the service in the three months before the claim.

Changes to These Terms

We may update these Terms from time to time. Changes will be posted on this page with a new “Last updated” date. Continuing to use our services after changes are posted means you accept the updated Terms.

Governing Law

These Terms are governed by the laws of the State of California and applicable U.S. federal law, without regard to conflict of law principles.
